GFP Automated Licensing
Retail Locations - Frequently Asked Question

How do I void a license?

Call the help number at 1-888-629-4264 and give us the customer's ID number for the licenses you want to void.  Void license transactions will appear on your sales report and on your monthly bill with a negative value offsetting the sale.

How come there are no privileges available for my customer, after I enter the customer's personal information?

Check that the customer's ID information is correct, particularly their date of birth.  When entering the year, you must enter a 4-digit year for anyone born before 1930, otherwise the system defaults to 2000 (e.g. 29 is interpreted as 2029, not 1929) and no licenses will be available because the customer will be too young to hunt.

Also, you should verify that they do not already have a license in their shopping cart, waiting to be purchased, that might block the license they want (e.g. an annual fishing license in the cart will block the senior fishing license from being displayed or purchased).

What if I'm doing an Emergency Authorization Sale, and the customer comes up as ineligible for the license I've sold them?

The call center can override these issues, so that you will be able to complete the sale.  We will handle any issues with the customer.

What if I forget my administrative password?

Call the help number at 1-888-629-4264 with your request.  They will forward your call to someone from the GFP Licensing Office.  If you call outside normal working hours, someone from GFP will contact you when their office opens.

What if someone has resided in the state less than 90 days (so they are not considered residents yet for buying resident privileges), but has already acquired a South Dakota Drivers license?

Enter their drivers license number as normal, but insert an N at the beginning of the number (e.g. N00109310).  Enter the issuing state as SD, just don't do the override. This will result in non-resident privileges being presented.  You should advise the customer of this ID number change, since this is the number that will show in the system if he returns to buy another license.  You can correct the number at that time, and resident privileges will be available. Or the customer can simply create a new account with the correct ID.

What if someone has been issued a license, but there are errors in the customer's personal information?

Contact the GFP licensing office to correct this license. Do NOT void the license and create a new one.

Why does a customer's license not show up when I View License, and I know they have a license?

Occasionally, a customer will create a new profile (user name) that is different than the one used to purchase the license. In this case, the license may not appear when you first try to "View License," since it is still associated with the other user name. If you "Apply For License" for this customer, you should see that they do have current licenses. At this point, just click "View License" and you should be able to see their existing privileges, now.

Why is the Junior Combination License my only choice (for juniors ages 16 to 18)?

Any resident, 16-18 inclusive, who wants an annual fishing, annual small game or furbearer license will only be able to select their best option, which is the Junior Combination license. The Junior Combination only costs $25, (the same as a furbearer or annual fishing license by itself and $4 less than the resident annual small game) and includes all three of these privileges. Daily hunting and fishing licenses and the stand alone predator/varmint license are still available to juniors.

Someone else's information shows up when an I enter a drivers license or state-issued ID number. What's going on, and how can I sell this customer a license?

This might happen if an inappropriate override has been executed, allowing an incorrect ID to be posted. Also, our ID database includes several years of earlier handwritten GFP licenses and applications that may have been submitted with faulty information, or may have been entered with transcription errors. Customers should not be concerned that this is identity theft.  If this was identity theft, the thief would have stolen their entire identity. Social Security Number or Drivers License without the correct name and date of birth is not only useless, in cases like this, it raises flags for us to investigate and make corrections.  This is simply an error.

To sell this customer a license, do a search by the date of birth and the last four digits of the Social Security Number. If not found, then enter in all of the information for the customer and proceed with the sale. Email the ID information to wildinfo@state.sd.us, or call the help number at 1-888-629-4264, so we can eliminate the incorrect duplicate ID.
